Position Summary
Administers the company’s HR plans, policies, benefits, and procedures for all company personnel. Manages employee relations counseling and recruitment for the company.
Job Responsibilities:
- Administers various human resources plans and procedures for all company personnel; assists in the development and implementation of personnel policies and procedures; prepares and maintains employee handbook
- Administers employee health, welfare, and retirement plans company wide. Benefit programs include 401(k), medical, dental, vision, short-term disability, long-term disability, workers’ compensation, leaves of absence, FMLA, and flexible spending account Section 125 plans including enrollments and terminations. Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions
- Manages recruitment of exempt and non-exempt personnel and temporary workers, including the interview process
- Liaison between employees and insurance providers to resolve benefit-related problems and ensure effective utilization of plans
- Reconcile monthly benefit invoices and send them to Accounts Payable
- Conducts NEO (new employee orientation) to ensure employees gain an understanding of benefit plans and enrollment provisions. Counsels employees on plan provisions so that employees at all levels of the company can make informed benefit decisions
- Mailing and coordinating new hire welcome/new employee packet
- Assists supervisors/managers with new hire introductions
- Manages annual open enrollment period during the 4th quarter of each year. Sends out communication memos to employees and processes changes with carriers and payroll within deadlines
- Maintains HRIS records in ADP and compiles reports from the database
- Assures compliance with COBRA guidelines by preparing letters and other paperwork; receives and records COBRA insurance premium payments
- Writes and updates job descriptions for all positions within the company
- Verifies I-9 documentation and maintains forms per legal requirements
- Submits candidates for new employee background checks
- Maintains HR files in compliance with applicable legal requirements
- Keeps employee’s records updated by processing employee status changes
- Prepares required paperwork to place employees on payroll and establish HR file
- Trained to review each payroll
- Processing of employee terminations and exit interviews
- Assists VP, HR with various special projects
- Prepare upcoming company holiday calendar for senior leadership approval
- Download and send monthly headcount report from ADP to Finance/HR
- Download and send monthly PTO reports to senior leadership
- Prepare PowerPoint presentations
- Attend daily Tier 2 meetings
- Filing, copying, and mailing documents as needed
- Organizing luncheons and assisting with company events
- Schedule and coordinate interviews via MS Outlook with all stakeholders
- Follow up with HR colleagues on documents and data needed for projects
- Run errands, order employee appreciation gifts, and gift cards as needed
Qualifications:
- Bachelor’s degree in business, human resources, or equivalent combination of education and experience
- Minimum of five years experience administering employee benefit plans in the health and welfare areas
- Minimum of three years of recruiting experience
- High level of interpersonal skills in handling sensitive and confidential situations and documentation
- Ability to multi-task
- Working knowledge of COBRA, ERISA, FMLA, ACA, and related state and federal regulations required
- Strong interpersonal skills essential
- Perform duties of the position with minimal supervision
- Attention to detail and accuracy is an absolute must
- Ability to work and communicate with a diverse group of people
- Excellent verbal and written communication skills
Technical:
- Good working knowledge of Excel, Word, Access and a comfort level of learning new systems
- Fishbowl and QuickBooks experience a plus
- Comfortable with the use of web-based systems
Physical Demands:
- Regularly required to sit, stand, walk, occasionally bend, and move around the facility. Ability to lift up to 10 pounds
- Ability to work with allergens (tree nuts, peanut, dairy, etc)
Work Environment
- Work performed in an office environment with ambient room temperatures, lighting, and traditional office equipment as found in a typical office environment
- Daily trips out to the Production Department where exposed to a manufacturing environment with exposure to odors, fumes, noise and allergens (tree nuts, peanuts, dairy, etc)
Personal Protective Equipment
- Non-slip steel-toed shoes are required on the Production Floor
- Hairnets and facial hair nets are required to be worn on the Production Floor
- Lab coats, uniforms, or coveralls are mandatory on the Production Floor
